In our company with several geographically dispersed teams, we found it challenging to keep up with who our coworkers are in other offices. Another challenge was that when a new person was hired, that information often did not reach the people who needed it in order to prepare for the new employee's arrival. There are preparations to be made, such as having their computer configured, having benefits and other company information packets ready for them, and having basic orientation or training ready. After brainstorming with our administrative support people, I built this simple TWiki Application to help the entire company stay on top of new additions.
When a new person is hired, a simple HTML form is filled out at NewHireSubmissions. The form submission results in the creation of a new (automatically named) topic used to track the various items needed in advance. The newly-created topic has a TWiki Form attached that contains the data submitted. The topic also INCLUDEs a checklist of items to be done prior to the new person starting. I was pleasantly surprised to discover that when the topic containing the checklist is INCLUDEd in the new topic, and the checklist items states are changed, the ChecklistPlugin automatically creates a new topic for storing the states of the checklist items IN THAT (included) INSTANCE of the checklist.
Using a SEARCH on the WebHome page of our HR web, we are able to list any new employees that are starting. Those with some responsibility for preparations are then able to follow the link to complete the items they need and check them off as complete.
We also use a SEARCH on the Main WebHome, where we have company news, to make general announcements to the entire company welcoming the new employees.
Everyone has been very enthusiastic about this application. It has helped us to both be prepared for new employees to start work and to help all employees keep on top of who their new coworkers are, even in other office locations.
